Phase 9: Visa Procedure

Submit all document on the portal

Uploading, what the screening officer checks, and why one wrong file resets the queue.

Uploading is not the end โ€” a person reads this next

Once you submit, a visa officer actually reviews what you sent before anything else happens. Getting this submission right the first time is what decides whether that review takes days or restarts the whole queue.

What happens after you click submit

  1. You scan and upload every document the questionnaire asked for.
  2. A visa officer conducts an initial screening of what you uploaded โ€” this is not automated.
  3. The result is one of two things: an appointment notification, or a request for additional or corrected documents. There is no third outcome at this stage โ€” silence means neither has happened yet.

Incomplete means delayed, not rejected โ€” but delayed by a lot

An incomplete application does not fail outright; it goes back into the queue behind everyone whose file was right the first time. Given the current appointment backlog, a single missing or wrong document can add months, not days. Treat the first submission as the one attempt worth getting right, not a draft to fix on the second try.

Scan quality rules that apply here too

The same discipline covered for uni-assist applies to the embassy portal โ€” a screening officer is looking at the same kind of scan and will bounce it for the same reasons:

  • Every page, complete and legible โ€” including stamps and the backs of pages that carry them.
  • The right document in the right category. The upload categories match the questionnaire's list; a document dropped into the wrong slot reads as a missing one.
  • Attested academic documents, not plain copies โ€” the HEC/IBCC stamps from earlier in this guide have to be visible in the scan, not just present on the paper.
  • Nothing expired. A biometric photo older than six months, or a document you know has since been superseded, is worth re-doing before upload rather than after a rejection.

Do not chase the mission while you wait

The mission explicitly asks applicants not to inquire by phone or email about where their application stands โ€” answering those inquiries takes capacity away from actually processing the queue, which slows everyone down, including you. You will be told the result by email. Add the mission's domain to your contacts and check your spam folder regularly; a real decision landing unseen there is a genuinely common way people miss their own appointment.

โœ… Quick action plan

  1. Match every upload to the exact category the portal asks for โ€” nothing filed under the wrong heading.
  2. Check every scan is complete, legible, and shows the attestation stamps where required.
  3. Submit the full set together rather than piecemeal, so the screening officer sees a complete file on the first pass.
  4. Do not phone or email to chase a decision โ€” wait for the email, and check your spam folder daily.
  5. If you do get a request for a missing or corrected document, treat it as urgent โ€” it goes back into the same queue everyone else is in.
