Phase 6: Applying to Universities

uni-assist

What it is, the two procedures, what to send, and how to label it.

uni-assist: what it is, and which of its two procedures you need

A shared document-checking service used by a large share of German universities. It does not admit you β€” it checks that your Pakistani degree is what you say it is, converts your grade, and passes the result on.

uni-assist e.V. is the Arbeits- und Servicestelle fΓΌr internationale Studienbewerbungen β€” a non-profit that member universities use to handle the paperwork of international applications. It reviews your certificates, checks they meet the formal entry requirements, and converts your CGPA into the German grading system. The admission decision is always the university's, never uni-assist's. A positive review is not an offer.

The two procedures β€” and how they differ

This is the single thing most people get wrong. uni-assist runs two different procedures, and which one applies is decided by the university, not by you.

Standard procedure VPD procedure
What you get Your evaluated application goes to the university. A VPD β€” VorprΓΌfungsdokumentation, a preliminary review documentation β€” issued to you.
Who applies to the university uni-assist does. You apply through My assist and it is forwarded. You do. You upload the VPD with your own application, directly to the university.
Steps after the review None β€” you wait for the university's decision. One more, and it is on a separate deadline: you still have to make the real application yourself.
Cost Identical. The fee is the same for both procedures.
Processing time Usually 4 to 6 weeks, counted from the day uni-assist receives your online application form.
Shelf life Tied to that application and semester. Valid one year from its date of issue β€” so a single VPD can serve several universities and more than one intake.

The VPD trap

A VPD is not an application. Receiving one and stopping there means you have paid uni-assist, waited six weeks, and applied to nobody. The VPD is a certificate you attach to an application you still have to submit to the university yourself, before that university's deadline β€” which is usually different from the uni-assist one. Budget for both dates.

How to find out which one applies to you: check the university's entry in the uni-assist list of member universities, and the programme's own admission page. The University documents and deadlines lookup records this per university and subject as the data is added.

What it costs

  • €75 for your first chosen course of study.
  • €30 for each additional course.
  • The same for both procedures, standard and VPD.
  • Charged again per semester: reapplying for a new intake means €75 for the first course again, not a renewal.
  • Payable regardless of the result β€” the fee buys the evaluation, not an outcome, and is not refunded if the answer is no.
  • A few universities pay their applicants' fees, in which case the application is free. Check before assuming either way.
Group your applications into one submission. Because it is €75 for the first course and €30 for each one after it, five courses submitted together cost €195, while five submitted one at a time can cost €375. Decide your full shortlist before you pay for the first.

Timing β€” the rule that catches people out

Your online application form and your complete documents have to be in your My assist account before the deadline. Not posted by the deadline, not started by the deadline β€” complete, in the account, before it closes.

uni-assist's own advice is to apply at least 8 weeks before the deadline expires, so there is time for them to tell you something is missing and for you to fix it. With 4–6 weeks of processing on top, a document problem found in week five of an eight-week run is recoverable; the same problem found three days before the deadline is not.

What Pakistani applicants specifically have to send

uni-assist publishes requirements per country. For Pakistan it asks for:

  1. Your school leaving certificate with the overview of subjects and grades β€” that is Matric and Intermediate (class X and X+II).
  2. Your degree certificate, with the subject and grade overview where available, carrying Higher Education Commission (HEC) attestation stamps. This is why the HEC step earlier in the guide is not optional paperwork β€” uni-assist names it explicitly.
  3. Documentation of the minimum CGPA or percentage needed to be awarded a Bachelor's degree at your university. Note what this is and is not: it is the minimum for the whole degree, not a pass mark for an individual course or semester. Applicants routinely send the wrong figure here, and it stalls the file.
Translations: uni-assist needs certificates in the original language plus a German or English translation β€” but if your country issues the certificates in English anyway, as Pakistani universities generally do, no translation is needed. Where one is needed, it must come from a sworn or court-admissible translator, or from the issuing institution itself. A regular translation agency is not accepted.

How to name and label your documents

This is not what most people expect. uni-assist does not ask for a filename convention β€” it asks you to label the inside of the document.

  • Scan to PDF. PDF is the only format the upload accepts. Keep each file comfortably under the size limit shown in the upload area β€” the FAQ gives 10 MB β€” and scan to greyscale rather than high-resolution colour if a file is too large.
  • Scans must be complete and clearly legible. Every page, including backs of pages that carry stamps. A cropped corner or an unreadable seal comes straight back as a missing document.
  • Upload official certificates only β€” ones bearing a signature and stamp from the issuing institution, or a reference to automatic issuance, or a verification code. A photocopy with none of those is not an official certificate.
  • Upload each document once. The upload section in My assist is shared across all your applications: uni-assist needs each document once only, even if you are applying to several universities or several courses. Do not re-upload the same transcript per application.
  • When a document belongs to one specific application β€” a university's own form, a course-specific questionnaire β€” write the university name and course of study at the very top of the document, visibly and in bold, so it can be assigned to the right application. That label goes in the document, not just in the filename.
Give the file a sane name too. uni-assist does not require one, but a folder of scan_001.pdf files is how the wrong document gets uploaded into the right category. Something like Surname_Bachelor-Degree_HEC-attested.pdf costs nothing and makes the upload step much harder to get wrong.

Upload or post? It depends on the university

Both routes exist at once, and the split is not up to you:

  • Upload everything that does not need official certification, through your My assist account.
  • Post any officially certified copies. A scan or upload of a certified copy is not sufficient β€” where certification is required, the paper has to travel. Check each university's entry in the uni-assist list to see whether it demands certified copies of your education and language certificates.
  • Never send originals. Send officially certified copies only. Documents sent to uni-assist are not returned, and losing an original degree certificate in the post is not a recoverable mistake.
If your university requires post, work backwards from the deadline. International post from Pakistan to Berlin is slow and occasionally lost, and the requirement is that the documents are there in time. Use a trackable courier, keep the tracking number, and do not treat the postal route as something to start in the final fortnight.

The six steps, in order

  1. Get information β€” confirm the universities and courses you want are uni-assist members, and which procedure each uses.
  2. Plan your application β€” work back at least 8 weeks from the earliest deadline.
  3. Assemble your documents β€” HEC-attested degree certificate, school certificates, transcripts, the minimum-CGPA proof, translations if needed.
  4. Apply online β€” create your My assist account and fill in the online application form for each course.
  5. Pay the fees β€” €75 plus €30 per additional course. The clock starts when the form is received, but an unpaid application is not processed.
  6. Send and track β€” upload your PDFs, post anything that must be certified, then watch the status in My assist and answer any request for missing documents promptly.

βœ… Quick action plan

  1. For each shortlisted course, confirm whether it wants a standard uni-assist application or a VPD β€” and if it is a VPD, note the university's own separate deadline as well.
  2. Fix your full shortlist before paying, so you pay €30 rather than €75 for the extras.
  3. Count back 8 weeks from the earliest deadline. That is your real start date.
  4. Get the HEC attestation stamps on your degree certificate, and get written proof of your university's minimum CGPA for award.
  5. Scan everything to legible, complete PDFs; upload each document once only.
  6. Put the university and course name in bold at the top of any application-specific document.
  7. Check whether certified copies must be posted, and if so courier them with tracking, never the originals.
  8. If you got a VPD, go and make the actual application to the university β€” you are not finished.
